Health and Safety Policy and Procedure
Summary for Volunteers and Participants
1.Purpose
The purpose of this summary is to outline responsibilities for Health and Safety and how the Board provides a safe and healthy environment for all employees, volunteers and visitors.
2. Risk assessment
A risk assessment is updated as new guidance becomes available. We have extensive policies and procedures to mitigate identified risks. Current versions can be accessed electronically and they are brought to the attention of all staff.
3. Responsibilities
The Board has overall responsibility for Health and Safety and delegates operational procedures to the Director in order to:
3.1 Provide and maintain safe machinery, equipment and systems of work as far as is reasonably practical in line with its statutory duties.
3.2 Provide information, instruction, training and supervision as is necessary to ensure the health, safety and welfare of employees and volunteers.
3.3 Provide as far as reasonable and practical an environment for employees and volunteers which is safe, without health risks and adequate facilities and arrangements for their welfare at work.
3.4 Ensure as far as reasonably practical that everyone accessing the Garden (visitors, contractors etc) is not exposed to health and safety risks.
4. The Trustees recognise that under the Health and Safety (Enforcing Authority) Regulations, 1988, as an open access green space all Health and Safety regulation is enforced by the London Borough of Camden.
5. The Board in conjunction with the Director appoints from among employees Competent Persons as defined in the Management of Health and Safety at Work Regulations, 1993. These Persons will help in assessing, devising and applying measures to improve health and safety.
The Director will ensure that these persons have adequate time, information and training to undertake this task. The Competent Person will report to the Director.
6. While specific responsibilities are indicated above, it is vital that everyone shares responsibility for health and safety. Volunteers are asked to raise any concerns with a member of staff, including the need for First Aid and recording of incidents.
7. Fire and evacuation
7.1 In the unlikely event of a fire or evacuation, the London Fire Brigade must be able to account for everyone at the Garden. Staff, volunteers and activity participants are asked to use the sign-in sheets.
7.2 A designated member of staff will contact the Fire Brigade to raise the alarm.
Our address is Calthorpe Community Garden, 258-274 Gray’s Inn Road, London, WC1X 8LH
7.3 On hearing an alarm or loud bell you should:
● Be directed by staff and leave the premises immediately by the nearest exit. Do not delay to gather personal belongings.
● Walk calmly and do not shout FIRE as this can lead to panic and accidents
● Proceed to the Assembly Point at: under the canopy in the centre of the garden
● A member of staff will take the Sign In Register to establish if everyone is safe. Do not re enter the Garden until you are told you can.
7.4 A fire drill takes place regularly, without notice.
